Migrating From ChatGPT Team to Private AI

A practical playbook for moving a team off ChatGPT Team to a private AI deployment: the usage audit, access design, pilot rollout, and seat retirement.

Moving a team off ChatGPT Team does not have to mean a disruptive cutover. The teams that migrate cleanly treat it as a scoped project: audit what the team actually uses ChatGPT Team for, design the access and data connections the replacement needs, run a pilot alongside the existing subscription, then retire the seats once the pilot proves out. Here is the sequence that keeps productivity intact while moving to a deployment your company actually controls.

1. Audit how the team is really using it

Before scoping a replacement, find out what workflows depend on ChatGPT Team today: drafting, summarizing, coding help, research, or answering questions about internal documents pasted in ad hoc. Talk to the heaviest users. The goal is a short list of real workflows to preserve, not a guess at what the tool is for.

2. Decide what access and data connections you actually need

ChatGPT Team gives every workspace member the same flat access. A private deployment does not have to. Use the migration to define what each role should be able to reach: which document libraries, which systems, which conversation history. This is also the point to name what should never be searchable by the assistant at all.

3. Run a pilot alongside ChatGPT Team, not instead of it

Pick one team or workflow and stand up the private deployment for that group while the rest of the company keeps its ChatGPT Team seats. Compare the pilot group's experience against the workflows identified in step one: does it answer from the right sources, respect the access rules, and hold up for the drafting and research work people relied on.

4. Expand in phases, not all at once

Once the pilot group is satisfied, add teams in waves rather than migrating the whole company on one date. Each wave is a chance to catch a missing document source or an access rule that needs adjusting before it affects everyone.

5. Retire the ChatGPT Team seats last

Keep ChatGPT Team active until the last wave has confirmed the private deployment covers its workflows. Before cancelling, export or save anything the team needs from ChatGPT Team's workspace, then cancel the seats. Migrating with an overlap period costs a short stretch of double subscription cost and avoids the productivity gap that pushes people back to personal accounts.

What changes once the migration is done

A completed migration replaces a shared workspace on OpenAI's infrastructure with an assistant deployed in an environment dedicated to your company, connected to your actual documents and systems, with access scoped by role instead of applied flatly to every member. The comparison of ChatGPT Team against that model, on data ownership, access control, and cost, is covered on the ChatGPT Team alternative page.
